Many leaders are well aware that the ultimate success of a business is the sum of small improvements in every element of the organizational structure. So, it is hard to expect outstanding results even if 1% of personnel perform poorly. Therefore, it is important to monitor the results of your staff and look for ways to improve the performance of everyone.

Financial and non-financial motivation plays an important role in ensuring high personal results, but this is not enough in the 21st century. We require high-tech solutions and, in particular, the organization of the working space. If you calculate how much time people spend switching between applications or opening a slow program, the realization of lost time can be very upsetting for an entrepreneur. This article is about how the virtual workplace can boost employee productivity and become your competitive advantage.

What is a digital workplace?

Most commonly, a digital workplace (DW) refers to the virtual equivalent of a material desk or an office. It requires careful planning and management due to its fundamental role in effectiveness, engagement, and a healthy climate. This concept is usually human-centered and describes technologies that enable efficient practices, increase employee engagement and flexibility, and improve the environment in a company.

The concept is based on the idea of creating a unified communication environment for the company and integrating all types of communication, from e-mail and chats to audio-video calls and corporate blogs. Also, workers should have access to the necessary documents, knowledge bases, and graphic and video materials. Obviously, in 2023, when the format of remote and hybrid work is becoming more common, there should be no binding to a tangible workplace.

How does the digital workplace affect employee productivity?

The success of implementation depends on people, and in every firm, the role of cutting-edge technologies is different. However, there are general principles that can guide the CEO when implementing a digital platform. They are based on areas that could be improved:

  1. Employee engagement. Companies in which the minds of managers are occupied with personal matters will never succeed. A worker who wants to work and does it with full concentration and dedication is able to complete tasks much faster than an indifferent employee. Engagement is just as important as qualifications or experience.

Often, inconvenient software and poor-quality interface can negatively affect engagement. So, a platform designed with people in mind can instantly increase productivity and boost your revenue.

  1. A convenient environment in which each performer sees their tasks. In essence, the platform should combine the functions of a planner and CRM. Quick setting work tasks and recording their progress helps you focus on your duties. This increases the level of responsibility and forms an understanding among workers of the importance of their activities.
  2. Automation of routine tasks. AI or other programs can be integrated into the system to perform simple tasks and free up time to solve complex problems and develop innovative ideas. The work becomes more creative, which further increases the productivity of the staff.
  3. Personnel can see the company’s long-term goals and shorter sprints. This eliminates questions like “Why do this or that task?” The system allows you to track your progress and always stay motivated. Moreover, managers can quickly manage plans and schedules and monitor the performance of each person.
  4. More convenient tools for negotiations or conferences. Advanced tools to help you get the most out of your business meetings. Remote employees will not feel isolated and will be able to actively participate in brainstorming sessions or other team activities.
  5. Customizable interface. Some platforms allow you to change the settings to your liking. This will increase the level of comfort and make processes more enjoyable.
  6. Integration into the platform of different software will allow employees to solve work tasks faster. So, for example, instant analytics will make a number of outdated programs unnecessary.

Conclusion

The digital workplace is a necessity that has arisen due to the growing demand for efficiency. While there may be resistance to any change, digitalization ultimately makes you more competitive. Today, it is the driving force behind progressive companies that want to achieve maximum productivity with a high level of satisfaction within the company.

A smart balance of technologies ensures comfortable communication, quick access to tasks, control from the administration, and freeing up time for creativity. Digital workplace transformation requires a carefully thought-out plan and qualified contractors. The transition to new models will be an important milestone in the development of your company and will contribute to overall prosperity and customer contentment.
